1. What this policy covers

This policy explains how Sun Air Supply collects, uses, stores, and protects information submitted through this C.O.D. Account Application Portal.

2. Information we collect

We collect business and contact information, organizer information, phone numbers, email addresses, business dates and structure, HVAC and EPA certification details, driver license number and a photo or copy of a driver license or other government-issued photo ID, tax-exemption information, uploaded documents, electronic signatures, and information needed to communicate about an application.

The driver license or photo ID is used only to verify the identity of the person applying for the account. It is stored in private file storage, is available only to authorized Sun Air Supply staff, and is deleted together with the application.

We may also process technical information such as IP address and request timing to protect the portal from abuse and enforce rate limits.

3. How we use information

We use submitted information to evaluate and administer C.O.D. account applications, verify supporting documents and the applicant's identity, communicate application decisions or corrections, maintain business and compliance records, prevent fraud and abuse, and operate and secure this portal.

4. Service providers

We use service providers for hosting, database, file storage, PDF generation, security, and email delivery. Providers may process information only as needed to provide those services and under their applicable terms and privacy practices. Current infrastructure may include Vercel, Neon, and Postmark.

5. Retention and deletion

We retain application records and supporting documents for as long as reasonably necessary for account administration, business records, legal obligations, dispute resolution, and security. To ask about access, correction, or deletion of information, contact the Credit Department. Some records may need to be retained when required by law or legitimate business obligations.

6. Security

We use access controls, encrypted transport, authenticated staff access, server-side validation, rate limiting, and security headers. No internet transmission or storage system can be guaranteed completely secure, so applicants should submit only information they are authorized to provide.
